The dashboard, compliance report and CSV export
What each status means, how "compliant" is counted, and how to print a report or export a spreadsheet for an audit.
What the statuses mean
Each document a vendor owes you has one of these statuses:
- Compliant (shown as "Valid" in the report): on file and not expired.
- Expiring soon: still valid, but expires within your "Expiring soon" window, 30 days by default.
- Expired: the expiry date has passed.
- Missing: required, and nothing approved is on file.
- Not required: you excused this vendor from it (shown as "Exempt" in the report).
A vendor's overall status is the worst of their documents. A vendor counts as compliant when nothing is expired or missing. "Expiring soon" still counts, because the documents are valid today.
Only approved documents count. Uploads still waiting for your review are shown, but don't change anyone's status until you approve them.
The dashboard
The dashboard is on every plan. It shows how many vendors are compliant, who needs attention, what expires in the next 60 days and recent activity.
The compliance report
On the Starter plan and above, Compliance report gives you a snapshot to hand to an auditor, lender, owner or insurance carrier.
- One row per active vendor, one column per document type.
- Each cell shows the status and, where there is one, the expiry date.
- At the top: your company name, the date, the percentage of vendors that are compliant, and how many are fully compliant, expiring, expired and missing documents.
To print it or save it as a PDF:
- Open Compliance report.
- Click Print / Save as PDF. It's laid out for landscape pages.
- In your browser's print window, pick your printer, or choose "Save as PDF".
Archived vendors aren't included.
CSV export
On every plan, including Free, you can download everything as a spreadsheet that opens in Excel:
- Go to Import / export, or open the Compliance report.
- Click Download CSV (or Export CSV on the report, which needs Starter or above).
You get one row per vendor per document (optional documents the vendor has nothing on file for are left out), with the vendor's contact details, overall status, document status, expiry date, insurer, policy number and coverage. Archived vendors aren't included.
On the Free plan, you can still open and download any individual file from the vendor's page.
